The short version
We are a small software company. We sell one WordPress plugin, and we keep as little information about you as we can.
- We never sell your personal information, and we never will.
- We never see your card details. Payments are handled entirely by our payment provider.
- Our free plugin sends nothing back to us. It contains no tracking of any kind.
- You can ask us at any time to show you, correct, or delete what we hold about you.
The rest of this page explains all of that properly.
Who we are
Deftmind Labs operates this website, deftmindlabs.com, and publishes the Webhook Engine plugin for WordPress. We are based in Nigeria.
For anything to do with your personal information, including any of the requests described further down this page, write to us at privacy@deftmindlabs.com. We aim to reply within seven days, and in any case within the time the law allows.
Under the Nigeria Data Protection Act 2023, we are the data controller for the information described on this page. That means we decide what is collected and why, and we are responsible for looking after it.
What we collect, and why
When you simply visit the site
Our web host records ordinary server logs for every visit. These include your IP address, the page you asked for, the time, and basic details about your browser and device. This happens automatically on virtually every website and we cannot switch it off.
We use these logs only to keep the site running, to investigate faults, and to block abuse. Our host also runs an automated security check that can briefly test whether a visitor is a real browser rather than an automated program.
Why we are allowed to do this: it is necessary for our legitimate interest in operating a secure, working website.
When you buy or activate a licence
Our sales, checkout and licensing are handled by Freemius, a specialist provider for software vendors. When you buy Webhook Engine Pro, or activate a licence on your site, Freemius collects and processes:
- your name and email address;
- your billing details and country;
- your payment details, which go directly to Freemius and its payment processors;
- the web address of the site where you activate the licence;
- your IP address and the version of WordPress and of our plugin you are running, so that licence checks and updates work.
We never see or store your card number. It is never sent to this website. We see your name, email address, country and what you bought, so that we can support you and meet our tax and accounting obligations.
Why we are allowed to do this: to perform the contract you entered into when you bought a licence, and to comply with our legal obligations.
When you contact us
If you email us or use a contact form, we receive whatever you choose to send: usually your name, your email address, and the details of your question. Support conversations are also available through your Freemius account.
We use this only to answer you. Please do not send us passwords, licence keys belonging to other people, or anything confidential that we do not need in order to help.
Why we are allowed to do this: our legitimate interest in responding to people who contact us, and where relevant, performing our contract with you.
When you use the support chat
There is a chat button on our site so you can contact us without leaving the page. When you use it, we receive the message you type and any contact details you choose to give us, such as your name and email address.
Those enquiries are stored in Airtable, a database service we use so that nothing gets lost and we can follow up properly. The chat button itself is part of our hosting, so our hosting provider handles your message on its way to us.
We use what you send only to reply to you, and sometimes to improve our documentation when the same question comes up often. Please do not send passwords, payment details, or sensitive personal information through the chat.
Why we are allowed to do this: our legitimate interest in answering people who contact us, and where you are a customer, performing our contract with you.
When you join our mailing list
If you choose to give us your email address for product news, we store that address and use it to send you occasional updates about Webhook Engine. We only do this if you have asked us to.
Every email we send includes an unsubscribe link. You can also simply reply and ask us to remove you, and we will. We do not share our mailing list with anyone, and we do not sell it.
Why we are allowed to do this: your consent, which you may withdraw at any time.
Analytics
We use a website analytics service to understand which pages people find useful, so we can improve them. This tells us things like which documentation sections are read most and roughly where in the world our visitors are.
We look at this information in aggregate. We do not use it to identify individual people, and we do not combine it with your customer account.
Why we are allowed to do this: our legitimate interest in understanding how our site is used, or your consent where the law requires it for the cookies involved.
Cookies
A cookie is a small file a website stores in your browser. The ones used here fall into three groups:
- Necessary cookies that make the site work, including those set by our caching and security systems.
- Login cookies, set only if you log in to this site. Almost no visitor ever does; these are for our own staff.
- Analytics cookies, as described above.
You can block or delete cookies in your browser settings at any time. Blocking necessary cookies may stop parts of the site working.
What our plugin does on your website
This section is about the software itself rather than this website, because it is the question we are asked most often.
- The free plugin never contacts us. It contains no tracking, no usage reporting, and no calls home of any kind. Once installed, it works entirely within your own site.
- We never receive your visitors’ data. Information submitted through a Webhook Engine form goes from your server to the address you configure. It does not pass through us.
- We do not store your keys. The plugin holds no AI provider keys. Any password you set for your own webhook stays in your own WordPress database.
- Chat conversations are never saved. In the plugin’s conversation mode, the thread exists only in the visitor’s browser and disappears when they reload the page.
- Webhook Engine Pro contacts Freemius to check that your licence is valid and to offer updates. That check involves your site address, licence key and plugin version.
If you run our plugin on your own website, you are the data controller for your visitors’ information, not us. You decide what your forms collect and where it is sent. You will need your own privacy policy covering that, and if you send visitor data to an AI service, your policy should say so.
Who we share information with
We do not sell your personal information, and we do not share it for anyone else’s marketing. We share it only with the suppliers who make our business work:
- Freemius — sales, checkout, licensing and customer support.
- Our web host — running this website and its security systems.
- Our email provider — sending the mailing list, if you have joined it.
- Our analytics provider — measuring how the site is used.
- Airtable — storing support enquiries sent through the chat on our site.
Each of these handles information only on our instructions. We may also disclose information if the law requires it, or to protect our rights or the safety of others.
Where your information goes
Some of our suppliers are based outside Nigeria — including Airtable, which stores data in the United States — so your information may be stored or processed abroad. Where that happens, we rely on the transfer conditions permitted by the Nigeria Data Protection Act 2023, and we choose established providers who commit to recognised data protection standards.
How long we keep it
- Server logs — a short period, typically a few weeks, then deleted automatically.
- Purchase and licence records — for as long as you hold a licence, and afterwards for as long as tax and accounting law requires.
- Support messages and chat enquiries — kept in our support records and in Airtable while they are useful for supporting you, then deleted.
- Mailing list — until you unsubscribe or ask to be removed.
- Analytics — in aggregate form, which does not identify you.
Your rights
Under the Nigeria Data Protection Act 2023, and comparable laws elsewhere, you have the right to:
- ask what personal information we hold about you, and receive a copy;
- have anything inaccurate corrected;
- ask us to delete information we no longer need;
- object to a particular use, or ask us to restrict it;
- receive your information in a portable form;
- withdraw your consent at any time, where we relied on consent.
To exercise any of these, email privacy@deftmindlabs.com. We will not charge you or treat you differently for asking.
If you are unhappy with how we have handled your information, you may complain to the Nigeria Data Protection Commission. We would appreciate the chance to put things right first.
Children
This site sells developer tools and is not aimed at children. We do not knowingly collect information about anyone under 18. If you believe a child has given us personal information, tell us and we will delete it.
Keeping your information safe
This site is served over an encrypted connection. Access to customer records is limited to the people who need it. Payment details never reach our systems at all.
No system is perfectly secure, and we will not pretend otherwise. If a breach ever affects your personal information, we will tell you and the Nigeria Data Protection Commission as the law requires.
Changes to this policy
If we change how we handle personal information, we will update this page and change the date at the top. If the change is significant, we will say so clearly rather than quietly editing the text.
